PRIVACY POLICY

Last updated: August 2026

At YutoriReiki, your privacy is important. We are committed to protecting your personal information and handling it respectfully, securely and in accordance with applicable UK data protection law, including the UK General Data Protection Regulation (UK GDPR) and Data Protection Act 2018.

Who We Are

YutoriReiki provides Reiki Ryōhō services.

For the purposes of UK data protection law, YutoriReiki is responsible for the personal information it collects and uses.

Information We May Collect

When you contact YutoriReiki, make a booking or attend a Reiki Ryōhō, we may collect information including:

• Your name and contact details

• Appointment and booking information

• Communications and enquiries

• Relevant health or wellbeing information that you choose to provide

• Information required to maintain appropriate client and appointment records

We aim to collect only information that is reasonably necessary for the purposes for which it is required.

How We Use Your Information

Your personal information may be used to:

• Respond to enquiries

• Arrange and manage appointments

• Communicate with you regarding your booking

• Provide Reiki Ryōhō services

• Maintain appropriate client records

• Meet applicable legal, insurance and professional record-keeping requirements

Your personal information will not be sold to third parties.

Our Lawful Basis for Using Your Information

Under UK data protection law, YutoriReiki must have a lawful basis for processing personal information.

Where personal information is necessary to arrange or provide a service you have requested, we may process that information because it is necessary for the performance of a contract or in order to take steps at your request before entering into a contract.

Where we are required to retain or use information to comply with a legal obligation, we may process it on that basis.

In limited circumstances, we may also process personal information where this is necessary for our legitimate interests, provided those interests do not override your rights and interests.

Health & Wellbeing Information

Information concerning your health is considered special-category personal data and receives additional protection under UK data protection law.

You are encouraged to provide only information that is relevant to your Reiki Ryōhō and your comfort and wellbeing.

Where YutoriReiki records health or wellbeing information that constitutes special-category data, we may rely upon your explicit consent as the condition permitting us to process that information.

You may withdraw your consent to the processing of information based on consent by contacting YutoriReiki. Withdrawal of consent does not affect the lawfulness of processing carried out before consent was withdrawn.

Where information must lawfully be retained for another reason, withdrawal of consent may not necessarily require the deletion of every existing record.

Explicit Consent

Where explicit consent is required, you will be asked to provide a clear indication that you consent to the specified use of your health or wellbeing information.

Consent will not be assumed simply because you have booked a Reiki Ryōhō.

You may withdraw consent by contacting:

yutorireiki@outlook.com

The ICO says explicit consent must be expressly confirmed rather than inferred, and organisations should retain evidence of the consent obtained.

Confidentiality

Personal information shared with YutoriReiki is treated confidentially.

Information will not ordinarily be disclosed to third parties without your permission, except where disclosure is necessary to comply with a legal obligation or another lawful basis applies.

Where service providers process personal information on our behalf, we take reasonable steps to ensure that information is handled appropriately and securely.

Data Storage & Security

Reasonable organisational and technical measures are taken to protect personal information against unauthorised access, accidental loss, misuse, alteration or disclosure.

Particular care is taken with information relating to health and wellbeing because of its sensitive nature.

How Long We Keep Your Information

Personal information will only be retained for as long as reasonably necessary for the purposes for which it was collected and to meet applicable legal, insurance and professional record-keeping requirements.

Different types of information may therefore be retained for different periods.

When information is no longer required, it will be securely deleted or destroyed where appropriate.

Your Data Protection Rights

Depending upon the circumstances and the lawful basis on which your information is processed, you may have the right to:

• Request access to personal information held about you

• Ask for inaccurate or incomplete information to be corrected

• Request deletion of your personal information in certain circumstances

• Request restriction of the processing of your information

• Object to certain processing

• Request transfer of certain information where applicable

• Withdraw consent at any time where processing is based upon consent

These rights are subject to certain legal limitations and exemptions.

The ICO confirms that the rights applying to an individual can differ depending on the lawful basis used, which is why I would avoid saying that clients can simply have all information deleted “at any time.”

Sharing Your Information

YutoriReiki will not sell your personal information.

Information may be shared where reasonably necessary with organisations that provide services used to operate the business, such as website, booking, email, payment or IT service providers.

Information may also be disclosed where required by law.

Where third-party providers process personal information, appropriate steps will be taken to protect your information in accordance with applicable data protection requirements.

Website & Cookies

The YutoriReiki website may use cookies and similar technologies necessary for the operation and functionality of the website.

Where cookies or similar technologies require consent, visitors will be provided with an appropriate opportunity to make their choices.

Your cookie arrangements should ultimately match what the IONOS website actually uses; the ICO treats cookie information as part of an organisation's privacy responsibilities.
